What is a carpool agreement?

A carpool agreement is a short written arrangement between families or commuters who take turns driving. Carpools usually start with a quick chat and fall apart over small things. Someone is always late, one family drives more, nobody agreed on booster seats, or a driver cancels at 7 am. Putting the arrangement in writing means everyone has agreed the same rules before the first run.

This template covers the route and pick-up points, days and times, who drives when, how long the driver waits, drivers' licences and insurance, safety rules in the car, children's car seats, handovers and allergies, cost sharing (no payments, a fixed amount per trip, or splitting fuel, parking and tolls monthly), changes and illness, accidents, and leaving the carpool. It is set up for three members, and you can add more signers in the editor.

Using the carpool agreement, step by step

1 Name the members and the purpose

Enter the three members' names and phone numbers. Choose whether it is a school run, a commute or trips to an activity. For a commute, the agreement adds that passengers are adults and responsible for themselves.

2 Set the route, times and rota

Describe the route and pick-up points, the days and times, and the starting driving pattern. Keep the live rota in a shared calendar. Set how long a driver waits at a pick-up before moving on.

3 Agree costs and children's needs

Choose how costs work. If passengers pay per trip, enter the amount. List each child's car seat or booster, allergies and other needs. The agreement already requires each child to use the seat local law requires for their age and size.

4 Set the change rules and send

Say when members must tell the others about changes and how much notice is needed to leave. Then add the other two members as signers and send. Each signs from their own device.

Tips Before You Send It

  • Ask each driver to check with their insurer that carrying carpool passengers, and taking cost contributions, is covered.
  • Agree who provides car seats. If a child's own seat moves between cars, make sure every driver knows how to fit it.
  • Share a list of who may collect each child, and tell the driver about any change in writing.
  • Keep a group chat for the carpool. Messages are the quickest way to swap turns and flag delays.
  • Review the rota each term, when timetables and activities change.

Sign It Online In Minutes

  1. Fill in the blanks. Names, dates and amounts go straight into the agreement — the preview shows exactly where.
  2. Name who signs. Tick “This is me” for your own part. VergeHR builds the PDF with every signature, date box on the right line, and you can check or move anything before sending.
  3. Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in Files and emailed to everyone.

Carpool agreement: frequently asked questions

Can we charge each other for carpool rides?

The agreement lets passengers contribute to costs, such as a fixed amount per trip or a share of fuel, parking and tolls, and says no one makes a profit. In some places, and with some insurers, taking money for rides can affect insurance cover or count as a commercial service, so check before you agree payments.

What if there are more than three families?

Add the extra members as signers in the eSignature editor before sending, and include them in the rota and contact list.

Who is responsible if there is an accident?

Each driver stays responsible for their own driving, vehicle and insurance, and the agreement doesn't change anyone's legal responsibility. It sets out what the driver does after an accident: make everyone safe, call the emergency services if needed, and tell the other members.

Is a carpool agreement signed online valid?

Electronic signatures are generally valid for ordinary agreements like this in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF as a record of who signed and when.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR, and the people you send it to don't need a VergeHR login to sign.
