What is a bartending services agreement?

A bartending services agreement is used by mobile bars and freelance bartenders when they're booked for a wedding, private party or corporate event. Beyond the usual date, hours and price, bar work raises questions other event services don't: who buys and owns the alcohol, which licences or permits the event needs, and who has the final say when a guest has had enough.

This template lists the event, service hours, guest count, staff and drinks menu, and lets you choose whether the alcohol comes from the client, your bar service or the venue — with a reminder that supplying alcohol often needs a licence. It sets responsible-service rules (checking ID, refusing under-age or intoxicated guests, closing the bar early if needed), the client's responsibility for guests and safe transport home, gratuity, deposit, extra hours, cancellation and liability that respects each party's legal duties around alcohol.

Using the bartending services agreement, step by step

1 Enter the event

Add the date, venue, bar service hours and expected guest count, and your licence or server certifications if you have them.

2 Set staff and menu

Enter the bartenders and barbacks, then the drinks menu and what's included — mixers, ice, garnishes, cups.

3 Choose who supplies the alcohol

Pick the client, your bar service or the venue. If it's the client, the contract confirms they own the leftovers and you only serve.

4 Price it and send

Enter the total price, deposit, extra-hour rate and how gratuity works, then send it to the host to sign.

Tips Before You Send It

  • Check what licence, permit or server certification applies before agreeing to supply the alcohol yourself.
  • Ask for the final guest count with the balance a week before; the contract builds that in.
  • Brief the host on the responsible-service rules so they back you if a guest is refused.
  • Ask whether the venue has its own bar rules or an exclusive alcohol supplier.

Bartending services agreement: frequently asked questions

Can I serve alcohol the client buys?

In many places, yes, with the client supplying it and keeping ownership. But rules vary widely on who may serve at private and public events and whether an event permit is needed — check what applies to the venue before you book.

Can bartenders refuse to serve a guest?

Yes. Staff will check ID where needed and refuse anyone who appears under age, can't show ID when asked, or appears intoxicated. They can also limit service or close the bar early, and the client agrees to support those decisions.

Does the contract shift alcohol liability to the client?

No. Each party stays responsible for its own acts and the legal responsibilities the law places on it for serving or supplying alcohol. Those can't be moved by contract, and the agreement says so.

Is this template free?

Yes, it's free with VergeHR eSignature. Your client signs from a link, no account needed. It's a starting point, not legal advice.
