What is a cash handling policy acknowledgement?

Clear cash procedures protect staff as much as the business. When everyone uses their own login, counts their float, records every refund and reports every variance, a shortage can be traced to a cause instead of turning into suspicion of the whole team. A cash handling policy acknowledgement records that each person was trained on those procedures and agreed to follow them.

This template covers using only your own till and login, counting and signing for the float, taking payments (ringing up every sale, counting change back, checking for counterfeits, no personal money at the till), refunds and voids under the approval rule you choose, cash drops and safe access, the end-of-shift count, and reporting discrepancies. You can set the standard float, the cash-drop threshold, the variance that triggers an investigation and a refund approval limit, and say whether CCTV covers tills and the safe. It separates retraining for honest mistakes from discipline for dishonesty, limits pay deductions to what the law allows, and puts personal safety first in a robbery.

Using the cash handling policy acknowledgement, step by step

1 Enter the business and location

Add the business, the employee, their job and, if you have more than one site, the store or location.

2 Set float and cash drops

Enter the standard float and the amount above which excess cash is moved to the safe. Both are optional — leave them blank if they vary.

3 Choose the refund rule

Choose manager approval for every refund and void, approval only above an amount you set, or refunds by managers only. The matching clause is printed.

4 Set discrepancy handling

Name who variances are reported to, optionally the size of variance that is investigated, and whether CCTV covers the till and safe.

5 Sign after training

Have the employee sign once they have been shown the till. The signed acknowledgement is filed in Files with their other records.

Tips Before You Send It

  • Never let two people share a drawer or login — it makes every discrepancy impossible to resolve fairly.
  • Count floats and drops with two people where you can, and record both names.
  • Whether you can deduct shortages from pay depends on local law and often needs written consent; the template doesn't assume you can.
  • Tell staff plainly that their safety comes first in a robbery. No amount of cash is worth an injury.

Cash handling policy acknowledgement: frequently asked questions

Can I make staff pay for till shortages?

In many places that is restricted or needs the employee's prior written agreement. The template says shortages will not be deducted from pay unless the law allows it and, where required, the employee has agreed in writing.

How are honest mistakes treated?

The template says honest mistakes are dealt with through retraining and support, repeated discrepancies or ignoring procedures may lead to disciplinary action, and theft or falsifying records is gross misconduct.

Do I need to mention CCTV?

If cameras cover the till or safe, telling staff what they are used for is good practice and often required by privacy law. Choose "Yes" and a clause explains it.

Is an e-signature valid for a policy acknowledgement?

Generally, yes. Electronic signatures are valid for workplace documents in the US (ESIGN and UETA), the UK, the EU (eIDAS) and Canada, and VergeHR records an audit trail.
