What is a hotel room block agreement?
A hotel room block agreement is the contract between an event organiser and a hotel that holds a set of rooms for attendees at an agreed group rate. It answers the questions that cause arguments after the event: how many rooms are held each night, how guests book, when unbooked rooms go back to the hotel, whether the organiser pays for rooms that don't fill (attrition), and what it costs to cancel the whole block.
This template works for conferences, trade shows, retreats, sports tournaments and weddings. You list the rooms night by night and the group rate, choose whether attendees book with a link or code or you send a rooming list, set the cut-off date, and decide who pays. Set a minimum pick-up percentage for a contracted block, or leave it empty for a courtesy block with no attrition charge. It also covers a cancellation scale, a deposit, what the hotel does if it can't provide a reserved room, events beyond either side's control, and any complimentary rooms or concessions.

Using the hotel room block agreement, step by step
1 List the rooms and rates
Enter the rooms night by night (for example, "Thu 15 Oct: 40 king rooms, 10 double-double"), the total room nights, and the group rate for each room type before taxes. Add anything the rate includes, such as breakfast or Wi-Fi.
2 Decide how guests book and when the block closes
Give attendees a booking link or group code, or leave it empty and send the hotel a rooming list. The cut-off date is when unbooked rooms go back to the hotel — often three to four weeks before arrival.
3 Agree attrition and cancellation
Enter a minimum pick-up (for example 80%) if you are committing to fill the block; the organiser pays for shortfall room nights at the group rate, less rooms the hotel resells. Leave it empty for a courtesy block. Then write the cancellation scale you agreed with the hotel and any deposit.
4 Send it to the hotel
Add the hotel's signer and your own. VergeHR places both signature blocks, job-title boxes and initials on every page. Keep the signed copy with your event paperwork.
Tips Before You Send It
- Base the block on past attendance, not hopes — attrition charges apply to rooms you committed to but didn't fill.
- Ask for the hotel's reservation reports before the cut-off so you can release or add rooms in time.
- Negotiate complimentary rooms (such as one per 40 paid room nights) and the group rate for a few days before and after the event.
- Check the hotel's standard policies for individual guests — deposits, cancellations and incidentals — and share them with attendees.

Hotel room block agreement: frequently asked questions
What is attrition in a hotel room block?
Attrition is the share of the block the organiser commits to fill. If guests book fewer room nights than that minimum, the organiser pays for the shortfall. In this template the charge is at the group rate excluding taxes, reduced by rooms the hotel resells when it had no others available.
What is a courtesy block?
A block with no attrition commitment. Rooms not booked by the cut-off date are simply released back to the hotel and the organiser pays nothing for them. Leave the minimum pick-up empty to use this option.
What happens if the hotel overbooks?
The template requires the hotel to arrange a comparable room nearby at its own cost, provide transport, bring the guest back when a room frees up, and count that room night towards the organiser's pick-up.
Can a hotel contract be signed electronically?
In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, electronic signatures are generally valid for ordinary commercial contracts like a room block agreement. VergeHR records an audit trail and a Certificate of Completion with the signed PDF.
