What is a job sharing agreement?

Job sharing lets two people split one full-time role, each working part-time, so a senior or client-facing job can be done by people who don't want to work full-time. It works best when the practical details are agreed up front: who works which days, how they hand over, who leads which parts of the job, how pay and holiday are split and what happens when one of them moves on.

This three-party agreement between the company and both partners names the shared role and its full-time hours, then sets each partner's weekly hours and working days, any overlap for handover, and the duties they share or lead. Each partner is paid in proportion to their hours, with holiday and benefits pro rata and pay reviews handled individually. You choose whether partners may be asked to cover each other's absence (and if so, only with their agreement, with extra hours paid). Performance and conduct are handled individually. If a partner leaves, the company tries to recruit a new partner and, if none is found in the time you set, discusses options with the remaining partner. Ending the job share doesn't by itself end anyone's employment.

Using the job sharing agreement, step by step

1 Describe the shared role

Enter the job title, who it reports to, the start date and the full-time hours for the role. These are the basis for each partner's pro-rata pay.

2 Split the hours and duties

Add each partner's weekly hours and working days, any overlap for handover, and how work is handed over. List the duties both share and any each partner leads.

3 Agree pay and cover

Optionally enter the full-time pay for the role, and choose whether partners may be asked to cover each other's absence. Extra hours are paid.

4 Plan for change, then send to all three

Set how long the company has to find a new partner if one leaves, a first review date and the notice to ask to end the job share. The company and both partners sign and initial each page.

Tips Before You Send It

  • Make sure the partners' combined hours cover the role, with some overlap for handover — even an hour a week helps.
  • Give the partners shared objectives for the role, but review each one individually.
  • Agree a single handover method — a shared note, a channel, a weekly call — and stick to it.
  • Plan holidays together early so the role isn't left uncovered.

Job sharing agreement: frequently asked questions

Are job share partners employed individually?

Yes. Each partner has their own employment contract, which continues to apply. This agreement adds the job-share arrangements, and the contract takes priority if they conflict unless the agreement clearly says otherwise.

What happens if one job share partner leaves?

The company tries to recruit a new partner, involving the remaining partner where practical. Meanwhile, the remaining partner may be asked to work extra hours but doesn't have to. If no one suitable is found in the time you set, the company discusses the options with them.

Is one partner responsible for the other's performance?

No. The partners share responsibility for the role's objectives, but each is individually responsible for their own work and conduct, and a performance or conduct issue with one doesn't affect the other.

Can three people sign the same agreement online?

Yes. VergeHR places signature, date and initials boxes for the employer and both partners. Electronic signatures are generally accepted for employment agreements in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada.
