What is a stud service agreement?

A stud service agreement is the contract between the owner of a stud dog and the owner of the female (the dam) before a mating. It settles the questions that cause arguments later: which health tests both dogs need, how many attempts are included, what the fee is and when it's paid, which puppy the stud owner gets if the fee is pick of the litter, and what happens if the dam doesn't conceive.

This template covers both dogs and their registration, confirmation of ownership, health testing (pre-filled with brucellosis, vaccinations and breed-club screening), natural mating or artificial insemination, the location and number of matings per season, costs and optional boarding, the stud fee as cash, a puppy, or both, rearing and handing over the stud puppy, a return service or part refund if there's no litter, notice of the litter and signing the registration papers once the fee is paid, ownership of the litter, no guarantee of results, and governing law. VergeHR places both owners' signatures, dates and initials.

Using the stud service agreement, step by step

1 Enter both dogs

Add each owner's details and each dog's registered name, registration and microchip numbers, and the breed. Both owners confirm they own the dog or are authorised by any co-owners.

2 Agree the health tests and method

The health-tests line is pre-filled with a negative brucellosis test, vaccinations and breed-club screening — adjust it to your vet's and breed club's advice. Choose natural mating or artificial insemination, the location and how many attempts are included in one season.

3 Set the fee

Pick a cash fee, a puppy instead of a fee, or both. Enter the amount and when it's paid, and describe the stud puppy — for example first pick of either sex, chosen at seven weeks. Add a boarding rate if the dam will stay with the stud owner.

4 Decide what happens with no litter

Choose a free return service, a half refund, or neither, and optionally set the minimum number of live puppies that counts as a litter and how long the return service lasts. Add the dam owner as signer and send.

Tips Before You Send It

  • Exchange health-test results before the dam travels — the template lets either owner cancel without penalty if results are missing or show a problem.
  • Write down how the stud puppy is chosen: which pick, which sex, at what age and whether the stud owner can take cash instead.
  • Many registries need the stud owner's signature to register a litter. The template ties that signature to the stud fee being paid in full.
  • Check the registry's rules on artificial insemination and on how many litters a female can have registered before booking.

Stud service agreement: frequently asked questions

What is a return service?

A repeat mating at a later season, free of the stud fee, if the dam doesn't produce a litter. In this template it's for the same dam only, must be used within the months you set, and the dam owner still pays travel, vet and boarding costs. If the stud dog is no longer available, the stud owner can offer an approved replacement stud or a refund.

Does the stud owner guarantee puppies?

No. The fee is for the service, not a result. The template states that conception, litter size and the puppies' health, colour and quality are not guaranteed, and that the dam owner accepts the risks of pregnancy and whelping.

Who owns the puppies?

The dam owner owns the litter and is responsible for whelping, rearing, registering and selling the puppies — except any stud puppy that forms part of the fee, which is reared, vaccinated, microchipped and registered to the stud owner.

Is a stud contract signed online valid?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary contract like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF. Registry litter forms may have their own signing process.

Can I change the wording?

You fill in the blanks and choose the options; the fee and return-service clauses change with your choices. If you need different clauses, upload your own document to VergeHR eSignature instead and place the signature boxes in the editor.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR. The person you send it to doesn't need a VergeHR login to sign.
