What is a pet sitting agreement?

Leaving your pets with a sitter goes much more smoothly when the details are written down: how many visits a day, what each pet eats and when, which medication to give, which vet to call, how much the sitter may spend on treatment if you can't be reached, and what happens if either of you cancels. A pet sitting agreement gives the sitter clear instructions and gives both of you a record of what was agreed.

This template lists each pet, their feeding, medication and habits, the booking dates, visits per day and visit length, any extra tasks such as walks, litter or bringing in the post, and a daily update from the sitter. It sets the fee (per day, per visit or for the whole booking) and when it is paid, authorises vet treatment up to a limit you choose, adds an optional back-up contact, covers keys and use of the home, sets out who is responsible for what, and gives simple cancellation terms. The owner and the sitter both sign.

Using the pet sitting agreement, step by step

1 List the pets and their routine

Enter one pet per line with name, species, breed and age. Then write feeding instructions the sitter can follow without guessing — amounts and times — and any medication. Use "habits and things to watch" for anything a stranger should know, such as a dog that pulls near other dogs or a cat that must stay indoors.

2 Set the dates and visits

Choose the first and last day, how many visits a day and roughly how long each lasts. Add other tasks like walks, cleaning the litter tray, watering plants or bringing in the post.

3 Agree the fee and cancellation

Enter the fee and whether it is per day, per visit or for the whole booking, when it is paid, and how many days' notice you need to give for a full refund. Cancelling later lets the sitter keep half the fee.

4 Add the vet and emergency details, then send

Give the vet practice's name and phone, the most the sitter may approve for treatment if you can't be reached, and optionally a back-up contact such as a neighbour. Send it to the sitter to sign; the signed copy is filed in Files.

Tips Before You Send It

  • By signing, you confirm your pets are healthy, up to date with vaccinations and parasite treatment, and have no history of aggression other than what you note — so write any nipping, escaping or anxiety into "habits and things to watch".
  • Tell your vet in advance that a sitter may bring your pet in, and leave vaccination records where the sitter can find them.
  • Leave a few days' extra food and medication in case your return is delayed — the agreement expects it.
  • Set a vet limit you would genuinely be comfortable paying without being asked.
  • Do a short meet-and-greet before the booking so the sitter can learn the routine and the pets can meet them.
  • Ask a professional sitter whether they carry insurance for pet care and for keys to your home.

Pet sitting agreement: frequently asked questions

What if my pet needs a vet while I'm away?

The sitter contacts you first, then your back-up contact if you added one. If you can't be reached in time, the sitter may take the pet to your vet or the nearest emergency vet and approve treatment up to the limit you set. Above that, your approval is needed unless a vet advises the treatment is urgently needed to prevent suffering. You pay the vet costs.

Is the sitter responsible if something happens to my pet?

The sitter must care for your pets with reasonable skill and care and follow your instructions. They are not responsible for illness, injury or behaviour that happens despite that care, or for damage the pets cause. Each of you remains responsible for your own negligence.

What happens if we cancel?

If you cancel at least the number of days you chose before the first day, you get a full refund. Later cancellations let the sitter keep half the fee. If the sitter cancels, they refund you in full and try to help you find a replacement.

Is an agreement signed electronically valid?

In the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, electronic signatures are generally valid for everyday agreements like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF.

Can I change the wording?

You fill in the pets, routine, dates, fee, vet and cancellation details. If you need different clauses, draft your own document and upload it to VergeHR eSignature; you can still place the signature boxes in the editor.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR. Your sitter doesn't need a VergeHR login to sign.
