What is a cleaning services agreement?

A cleaning services agreement sets out the terms between a cleaning business and its client, whether the client is a household, an office or a short-let host. It turns a verbal "every other Tuesday, the usual" into a clear list of areas and tasks, a price, and rules for the things that cause friction: late cancellations, lock-outs, missed tasks, keys and alarm codes, and breakages.

This template covers regular or one-off cleans. You list the areas and tasks and anything not included, choose the frequency and visit time, and decide whether the company or the client supplies products and equipment. It covers access by key, code or lockbox, the price per visit, hour or month, payment timing, a cancellation window with an optional late-cancellation or lock-out charge, a free re-clean if a task is missed and reported in time, how breakages are handled, and an optional no-direct-hire clause for your cleaners.

Using the cleaning services agreement, step by step

1 Describe the premises and the job

Enter the address, say whether it's a home, office or rental, and list the areas and tasks one per line — kitchen, bathrooms, floors, dusting. Add what isn't included, such as inside the oven or windows outside, so there are no surprises.

2 Set the schedule and supplies

Choose how often you clean and the usual visit day and time. Decide who supplies cleaning products and equipment, and note any product preferences such as fragrance-free or no bleach on wood.

3 Agree access and price

Choose how the cleaners get in — the client lets them in, a key, or an access code — and add notes about alarms and pets. Enter the price, whether it's per visit, per hour or per month, and when payment is due.

4 Cover cancellations and quality

Set the cancellation window (48 hours is common) and an optional late-cancellation or lock-out charge, and how quickly the client must report a missed task for a free re-clean. Add your insurance details if you have them, then send it to the client to sign.

Tips Before You Send It

  • The more specific the task list, the fewer disagreements about what "clean" means. If you use a room-by-room checklist, copy it into the task list.
  • Label keys with a code, never the client's address, and record who holds each key.
  • Ask clients to put away cash, jewellery and fragile valuables — the agreement says so, but a reminder before the first visit helps.
  • Some places restrict no-hire or no-poach clauses. Leave the field empty if you're unsure whether it's allowed where you work.

Cleaning services agreement: frequently asked questions

What happens if a cleaner breaks something?

The cleaners report it the same day. If it was caused by carelessness, the company repairs it or pays the reasonable repair cost or, if it can't be repaired, its current value. Exclusions cover wear and tear, unsecured items, client-supplied products and valuables that weren't pointed out.

Can I charge for a lock-out or late cancellation?

Yes, if you add a charge. The agreement sets a cancellation window in hours and applies your charge when the client cancels late or the cleaners can't get in at the agreed time.

Does this work for commercial cleaning contracts?

Yes. Choose office or commercial premises, list the areas and tasks, and use a monthly price if you invoice monthly. Larger contracts with service levels and staffing requirements may need a more detailed agreement.

Is an electronically signed cleaning contract valid?

Electronic signatures are generally valid for ordinary service contracts in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR, and your client doesn't need a VergeHR login to sign.
