What is a landscaping services agreement?

A landscaping services agreement sets out the work a landscaper or gardener will do at a property, how often, and on what terms. It works for a season of weekly mowing, year-round grounds maintenance for a business, or a one-off planting project, and it answers the questions that usually come up mid-season: what happens when it rains, who waters the new plants, what about the sprinkler head that got clipped, and who pays for the mulch.

In this template you list the regular maintenance done at every visit, any seasonal work such as spring cleanup, aeration or leaf removal, and any planting or project work, plus what isn't included. You choose the visit frequency, whether fertilisers and weed or pest treatments are used freely, only with approval, or not at all, whether materials are included, and what happens to green waste. It covers weather rescheduling, the client's duty to mark hidden sprinklers, cables and pet fences, an optional plant guarantee, and how the agreement ends.

1 Describe the property and term

2 List the work

Add the regular tasks done at each visit, one per line, then any seasonal work with rough timing, and any planting or project work. Use "Not included" for things like tree work or irrigation repairs.

3 Choose treatments, materials and waste

Say whether fertilisers and weed or pest treatments are applied as needed, only with the client's approval, or not used. Choose whether plants and materials are included or charged separately, what happens to clippings, and whether new plants are guaranteed for a number of days.

4 Set the price and send

Enter the price per visit, month, season or project, an optional deposit and rate for extra work, and when invoices are due. Add the client as a signer and send; both of you initial each page.

Tips Before You Send It

  • Some places regulate lawn and garden chemicals or require a licence to apply them. If you apply treatments, check what applies to you.
  • Walk the property with the client before the first visit and flag sprinkler heads, low-voltage lighting and invisible pet fences.
  • Where you dig, arrange any utility locate service your area requires before breaking ground.
  • Give written watering instructions with any new planting — the plant guarantee depends on the client following them.

Landscaping services agreement: frequently asked questions

What happens when a visit is rained out?

The landscaper may move or skip work when conditions would be unsafe or harmful to the lawn. Moved visits happen as soon as conditions allow. Skipped visits aren't charged on per-visit pricing, and on monthly or seasonal pricing the work is made up later where it still makes sense.

Does the landscaper guarantee new plants?

Only if you set a plant guarantee period. Plants supplied and installed by the landscaper are then replaced once if they fail within that time, provided the client followed the care instructions. Without it, the agreement says plant survival isn't guaranteed.

Who is responsible for damage to sprinklers or buried cables?

The client must point out and mark hidden or easily damaged items. The landscaper repairs damage it causes through carelessness, but not damage to items that weren't disclosed or marked.

Is an electronically signed landscaping contract valid?

Electronic signatures are generally valid for ordinary service contracts in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR, and your client doesn't need a VergeHR login to sign.
