What is a videography services agreement?

A videography services agreement is the contract between a videographer or production company and a client for filming and editing — an event, a conference, a brand film, corporate content or social media videos. Video projects have more moving parts than a photo shoot: edits take weeks, clients ask for "one more change", music has to be licensed, and clients often assume they will get all the raw footage.

This template records the brief, filming date, hours and location, optional crew and equipment, and the list of videos you deliver. It sets a first-cut deadline, a number of revision rounds with what counts as a round and deemed approval, whether raw footage is included, how music is sourced and licensed, a deposit and balance, an hourly rate for extra filming or editing, rescheduling and cancellation, copyright with a usage licence you choose, permissions and releases, confidentiality for unreleased material, crew and safety, and a limit on liability for lost footage.

Using the videography services agreement, step by step

1 Describe the filming

Name the project, write the brief, and enter the filming date, hours and location. Optionally list the crew and equipment, such as a second camera operator, wireless microphones or a drone.

2 List the videos you deliver

One per line, with length, format and aspect ratio — for example "1 x 3-minute highlight film in 4K". Set the first-cut deadline and the number of revision rounds, and choose whether raw footage is included.

3 Choose music and usage rights

Choose licensed production music you pick, music the client picks from your library, or music the client supplies. Then choose what the client may use the videos for — personal use, its own channels, or any purpose including paid advertising and broadcast.

4 Set the fees and send

Enter the total fee, deposit, when the balance is due, your hourly rate for extra work, any expenses and the free rescheduling notice. Add the client and send.

Tips Before You Send It

  • Popular commercial songs can't be used just because the client likes them — they need licences from the rights holders. The agreement makes that the client's job if they want one.
  • Ask for one consolidated list of changes per round; the agreement defines a round that way to keep revisions manageable.
  • If you fly a drone, check local aviation rules and the venue's permission first — the agreement says drone filming happens only where law, venue and weather allow.
  • For interviews used in marketing, have each interviewee sign a photo and video release.

Videography services agreement: frequently asked questions

Does the client get the raw footage?

You choose: raw footage not included, included on a download link or client-supplied drive, or available for an extra fee. The default is that the videographer keeps it.

How are revisions handled?

The fee includes the number of revision rounds you set. A round is one consolidated list of changes sent within 10 days of receiving a cut. More rounds, new concepts or changes needing footage that wasn't shot are charged at the hourly rate. A cut not responded to within 30 days counts as approved.

What if a platform flags the music in our video?

Online platforms sometimes flag licensed music automatically. Under the agreement, the videographer provides the licence details to help resolve the claim.

Can a videography contract be signed electronically?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary commercial contract like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF as evidence of who signed and when.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR. Signers don't need a VergeHR login.
