What is a focus group participant agreement?

Before a focus group starts, researchers need each participant's agreement on a few things: that they are taking part voluntarily, that the session may be recorded and watched, that they will keep any unreleased products or ideas they see to themselves, and what they will be paid. A focus group participant agreement puts all of this on one signed page, so recruitment agencies, market researchers and in-house teams have a clear record.

In this template you describe the topic, date, time, place and length, and whether you name the client or keep it anonymous. You choose whether the session is recorded on audio and video, audio only or not at all, and whether observers from your team and the client's team will watch. The participant agrees that their contribution is used only for research, reported without their name, and not used in advertising; recordings are kept for the number of months you set. They agree to keep confidential what they see and what other participants say. The incentive clause pays in full for attending even if they leave early, and lets you withhold it if they gave knowingly false screening answers.

Using the focus group participant agreement, step by step

1 Describe the session

Enter the topic, date, start time, length and location — a venue address or "online by video call". Name the client only if you are telling participants who it is; otherwise the form explains that the client may not be named.

2 Choose recording and observers

Pick how the session is recorded and whether it will be watched live. Set how many months recordings are kept before they are deleted.

3 Set the incentive

Enter the amount and currency, how it is paid (for example a digital gift card) and when. Leave the amount empty if there is no incentive.

4 Send to each participant

Send one copy per participant before the session, with a contact for questions and withdrawals. They sign first, you countersign, and each signed copy is filed in Files.

Tips Before You Send It

  • Send the agreement when you confirm the booking, so participants arrive already signed and the session starts on time.
  • Pay the incentive even if someone leaves early — the form promises it, and it keeps participation genuinely voluntary.
  • Remind observers that they are bound by confidentiality too.
  • The form is for adults: participants confirm they are 18 or older. For younger participants, use a parental consent form signed by a parent or guardian.

  3. Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in Files and emailed to everyone.

Focus group participant agreement: frequently asked questions

Will participants' names appear in the research report?

No. The agreement says findings are reported without identifying the participant, and short quotes are used without their name. Recordings are shared only with the research and client teams working on the project.

Can a participant leave part-way through?

Yes. They can leave at any time without giving a reason and still receive the full incentive if they attended.

Is the confidentiality clause an NDA?

It is a short confidentiality promise covering unreleased products, ideas and materials shown in the session and what other participants say. For deeper disclosures, use a separate one-way NDA.

Is an electronic signature valid?

Generally, yes. Electronic signatures are valid for ordinary agreements like this in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, and VergeHR keeps an audit trail of each signature.
