What is a moving services agreement?
A moving services agreement is the contract between a moving (removals) company and the customer whose belongings it moves. It confirms the move details — addresses, moving day, arrival window and delivery date — what is being moved and what services are included, and, most importantly, how the price is worked out and what happens if something is lost or broken.
This template lets you choose a fixed price, an hourly rate with an optional minimum, or an estimate where the final price follows actual time and materials. You set who packs, list special or high-value items, and add other charges such as travel time or stairs. For loss and damage you choose limited liability with a stated amount, full value protection up to a declared value, or the customer's own insurance. It also lists items movers won't carry, access and parking responsibilities, the delivery receipt and claims window, and free cancellation up to a number of days before the move. Moving is regulated in some places, so the agreement says local rules apply and prevail.

Using the moving services agreement, step by step
1 Enter the move details
Add both addresses, the moving day, the crew's arrival window and when delivery will happen. Summarise the items to be moved or refer to your survey or inventory, and list any special or high-value items.
2 Choose packing and services
Pick who packs — the customer, the mover, fragile items only, or full pack and unpack — and add other services such as dismantling beds or supplying boxes.
3 Set the price
Choose fixed price, hourly rate or estimate and enter the amount. Add the crew and vehicles, minimum hours for hourly moves, other charges such as travel time or stairs, a deposit, and when the balance is due.
4 Agree liability, claims and cancellation
Choose limited liability (with the amount), full value protection (with the declared value) or the customer's own insurance. Set the claims window and the free-cancellation period, then send it to the customer to sign.
Tips Before You Send It
- Some countries, states and provinces license movers or require specific notices, estimates or liability options. Check what applies where you operate — local rules override the template where they conflict.
- Make sure the customer understands limited liability may pay far less than an item's value, and offer full value protection or insurance.
- Note pre-existing damage on furniture at loading and have the customer sign it — it avoids most disputes at delivery.
- Ask about stairs, elevators, parking and long carries up front; the agreement lets you charge for them only if they're agreed.

Moving services agreement: frequently asked questions
What's the difference between a fixed price and an estimate?
A fixed price covers the move as described and changes only if the customer adds items or services or the move differs from what was described. An estimate is a best guess — the final price follows actual time and materials, and the mover must warn the customer if it's likely to be materially higher.
What does limited liability mean for a move?
The mover pays up to the amount you state (for example per item or per kilogram) if goods are lost or damaged in its care. That can be much less than the goods are worth, so the customer may choose full value protection or their own insurance.
How long does the customer have to make a claim?
You set the number of days after delivery. If local law gives the customer longer, the longer period applies. Signing the delivery receipt doesn't stop a later claim for damage that wasn't visible at delivery.
Is an electronically signed moving contract valid?
Electronic signatures are generally valid for ordinary service contracts in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada. Some regulated interstate or cross-border moves have their own paperwork rules, so check what applies to your move. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF.
Is this template free?
Yes. The template is free to use with the eSignature app in VergeHR, and your customer doesn't need a VergeHR login to sign.
