What is a music lessons agreement?

A music lessons agreement, often called a studio policy, sets out how a teacher's lessons work: the weekly slot reserved for the student, the fee for the term, what happens when a lesson is missed, how recitals and exams are handled, and how much practice is expected at home. Clear terms up front avoid the most common disagreement — being asked to refund a lesson the student skipped.

This template covers the student and instrument, lesson day, time, length and location, the term and number of lessons, practice and materials, the term fee and any registration fee, unpaid fees and fee changes, missed lessons with or without make-ups (and a make-up limit), lessons the teacher cancels, recitals and graded exams, safeguarding and physical guidance, photos and recordings, continuing from term to term and stopping lessons. VergeHR places both signatures, dates and initials.

Add the parent, guardian or adult student who signs and pays, and the student's name if different. Add their age or level.

2 Set the lessons and term

Enter the instrument, weekly day and time, lesson length, location, the term dates and how many lessons it contains. Edit the practice suggestion to suit the student.

3 Fees and missed lessons

Enter the term fee, how it's paid and any registration fee. Choose whether missed lessons can be made up, the notice needed and how many make-ups a term.

4 Recitals, notice and send

Describe any recitals, choose the notice needed to stop lessons, add the signer and send.

Tips Before You Send It

  • Explain that the term fee reserves a weekly slot — the template says the fee is for the term, not per lesson attended.
  • Limit make-ups to what your timetable can really absorb, and require them in the same term.
  • If you guide hand or body position, say so up front. The template has you explain and ask before any physical contact.
  • Exam entry and accompanist fees are extra under this template — agree them with the family before entering the student.

Music lessons agreement: frequently asked questions

Are missed lessons refunded?

Not when the student misses them. You choose whether they can be made up when a slot is available and notice was given, or not made up at all. Lessons the teacher cancels are made up or refunded.

How does the student stop lessons?

The agreement continues from term to term. The client gives the notice you choose — before the next term starts, four weeks, or one calendar month — and fees for the current term remain payable.

Who should sign for a child?

A parent or guardian signs as the client and is responsible for the agreement and the fees. The child's name appears in the agreement.

Is a music lessons agreement signed online valid?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary services contract like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF as evidence of who signed and when.

Can I change the wording?

You fill in the blanks and choose the options on the setup page; optional clauses appear only when you fill them in. If you need different clauses, draft your own document and upload it to VergeHR eSignature instead — you can still place the signature boxes in the editor.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR. The person you send it to doesn't need a VergeHR login to sign.
