What is a social media management agreement?

A social media management agreement sets out what a social media manager or agency will do on a client's accounts and on what terms. It matters more than most service contracts because the manager is posting in the client's name and holding the keys to its accounts: both sides need to know what gets approved first, who replies to comments, and how access is handed back.

This template covers the platforms and accounts managed, posts per week, what content the fee includes, and whether replying to comments and messages is included (and how fast). You choose how content is approved — each post, a monthly calendar, or publishing within brand guidelines — and when the calendar is due. It keeps the accounts, followers and data with the client, sets security rules for access, covers the monthly fee, an optional setup fee and ad budget, monthly reporting, no guaranteed follower growth or bought engagement, content ownership and an optional minimum term.

Using the social media management agreement, step by step

1 List the accounts and the output

Name each platform and handle, set the number of posts per week, and describe what the fee covers — captions, graphics, video editing, scheduling. Shoots, ads and influencer work are extras unless you add them.

2 Choose how content is approved

Pick approval of each post, approval of a monthly calendar, or freedom to post within brand guidelines. Set when the calendar is shared and how many business days the client has to approve.

3 Decide on replies

Choose whether you reply to comments and messages on business days, seven days a week, or not at all, and your reply time. Complaints, refunds, legal and press enquiries always go to the client.

4 Set the fee and term

Enter the monthly fee, any setup fee and a paid promotion budget if you run ads (paid by the client's own card). Add a minimum term if you want one, and the notice period.

5 Send it

Add your client as signer and send. Both of you sign and initial every page; the signed agreement is filed in Files.

Tips Before You Send It

  • Ask for access through each platform's business or team tools instead of the client's personal password.
  • Agree a crisis plan: the agreement lets either side pause scheduled posts, but know who to call.
  • Keep a record of approvals — a comment on the content calendar is enough.
  • Never buy followers or engagement; the agreement rules it out, and platforms penalise it.

Sign It Online In Minutes

  1. Fill in the blanks. Names, dates and amounts go straight into the agreement — the preview shows exactly where.
  2. Name who signs. Tick “This is me” for your own part. VergeHR builds the PDF with every signature, date and initials box on the right line, and you can check or move anything before sending.
  3. Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in Files and emailed to everyone.

Social media management agreement: frequently asked questions

Who owns the social media accounts?

The client. The agreement says the client owns the accounts, followers, content and data, and the manager must not change ownership or recovery details and must give up access when the agreement ends.

Is follower growth guaranteed?

No. Results depend on platform algorithms and other factors outside the manager's control, so the agreement doesn't guarantee followers, reach or sales.

What if the client doesn't approve posts in time?

Where approval is needed and the client doesn't respond within the agreed business days, the manager may hold back unapproved posts and the schedule moves.

Is an agreement signed electronically legally binding?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary commercial contract like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF as evidence of who signed and when.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR. Your client doesn't need a VergeHR login to sign.
