What is a voice-over services agreement?

A voice-over services agreement is the contract between a voice actor and a client — a brand, agency, studio or producer — for recording commercials, explainer videos, e-learning, narration or phone prompts. In voice work the fee usually has two parts: the session itself and the usage, meaning where, where in the world and for how long the recording may be used. Getting usage in writing is what stops a social ad quietly turning into a TV spot.

This template records the project, script, session type, delivery format and date, and separates free retakes for the talent's own mistakes from paid pickups for script changes. It grants a non-exclusive licence limited by media, territory and usage period that starts only on payment, explains what happens to online content when the period ends, keeps the talent's demo-reel rights, and prohibits using the recordings to train AI or create a synthetic version of the voice without separate consent and payment.

Using the voice-over services agreement, step by step

1 Describe the project

Enter the client, any end client or brand, the project, script length and versions, session type, delivery format and delivery date.

2 Define usage

Write the permitted media (for example online paid ads, not TV), the territory and pick the usage period.

3 Set the fees

Enter the session fee and, if usage is charged separately, the usage fee, plus payment terms.

4 Send for signature

Send it to the client; the licence only starts once the fees are paid in full.

Tips Before You Send It

  • Be specific in the media field — 'online video and social paid ads' leaves far less room for argument than 'digital'.
  • If an agency is booking you for a brand, name the brand as the end client so the usage terms follow the recording.
  • Keep your session files; if usage is renewed you won't need to re-record.
  • The AI and voice-cloning clause matters even for small jobs — don't delete it to win the booking.

Voice-over services agreement: frequently asked questions

What are usage rights in voice-over?

Usage rights decide where the recording can be used (media), where in the world (territory) and for how long (usage period). This agreement grants a non-exclusive licence for the project only, within those three limits.

Can the client use my voice to train AI?

Not under this agreement. The client may not use the recordings to train or create any AI, voice cloning, text-to-speech or synthetic voice system, or to generate new speech in your voice, without your separate written consent and agreed payment.

What's the difference between a retake and a pickup?

Retakes fix your own mistakes or technical problems and are free when asked for within 7 days of delivery. Pickups are new or changed lines after recording or approval, and are charged at your pickup rate.

Is this a union contract?

No. It's an independent contractor agreement for non-union work unless the parties agree union terms separately.
