What is a studio rental agreement?

A studio rental agreement is what a studio sends when someone books its space — a photographer for a product shoot, a production for a video, a dance teacher for a class, a band for rehearsal or a podcaster for a recording. It confirms exactly when the booking runs, what's included, and who pays if the session runs over, something gets damaged or the booking is cancelled.

The template covers the booking date and times (including set-up and pack-down), purpose and maximum people on site, the studio fee and payment terms, overtime, an optional damage deposit, included and extra-cost equipment, studio rules such as no glitter or paint on the cyc without approval, damage and liability, cancellation and rescheduling in both directions, and who owns the content created during the booking.

Using the studio rental agreement, step by step

1 Describe the booking

Choose the type of studio, name the room, and enter the date, start and end times and what it's for. The booked time includes set-up and pack-down, so make sure it covers both.

2 Set the fee, overtime and deposit

Enter a fee for the whole booking or per hour, your payment terms (for example 50% to confirm, the balance before the session), an overtime rate and an optional damage deposit.

3 List equipment and rules

List the equipment included and anything hired at extra cost. Adjust the default studio rules — no confetti, paint or smoke without approval, no shoes on the cyc — to suit your space.

4 Choose cancellation terms and send

Set how many hours before the booking the renter can cancel free, and what happens after that: the full fee, 50%, or one free move to another date. Then send it for signature.

Tips Before You Send It

  • Walk through the studio with the renter at the start and note any existing marks on walls, floors and backdrops.
  • Ask productions for a certificate of public liability insurance for larger shoots or anything involving rigging or effects.
  • Be clear about how the building is accessed out of hours and where to load in.
  • If the renter is photographing or filming people, they are responsible for model releases — the template says so.

Studio rental agreement: frequently asked questions

Who owns the photos or footage made in the studio?

The renter. The template says everything created during the booking belongs to the renter and that the studio will not use it without permission. The renter is responsible for permissions from the people it records and for music licences.

What happens if the shoot runs over?

Extra time is charged at your overtime rate, or your standard hourly rate if you don't set one, in 30-minute blocks, and only if the studio is free.

What if the studio has to cancel?

If the studio can't provide the booking — for example because of a power cut or flood — it offers another date or a full refund of fees paid, at the renter's choice. Its liability for a failed booking is limited to that refund where the law allows.

Is a studio booking agreement signed online valid?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary contract like this one. VergeHR keeps an audit trail and a Certificate of Completion with the signed PDF.

Is this template free?

Yes. The template is free to use with the eSignature app in VergeHR, and renters don't need a VergeHR login to sign.
